What do I need to do before the event?
Complete the online permission and medical form by 22nd May 2024

Print, sign and bring the Shooting Permission Form

Completing your chid's medical form
Firstly, you'll need to locate the unique email that you should have received from 'WanJam2024' <wanjam.bookings@wansdykescouts.org.uk>. This contains a link to enable you to log-in and complete the Medical and Permission Form.
Each attendee to the event (Participants and Adults) will receive a separate email with an individual link.
If you have not received the email, please get in contact with the WanJam2024 Admin Team, using the email address above. We will be able to re-send the form, or re-direct it if required.
Once you've opened the link, it should ask you to confirm the Surname of the child you are filling out the form for. It may also ask for a unique identifier, this is detailed in the invite email, and is recommended that you copy and paste this value, if it is required.
You will then be asked to create a Username and Password. This will be required, should you need to access the form for a second time.
Once logged in, you will then see a button which says: 'Complete Medical and Permission Form'. Click this, and then follow through the stages to fill in all of the required information. Please ensure you include any relevant detail, that may be of relevance for this event. This information will be used to inform the organisers on a number of different elements, such as First Aid provision, Dietary Requirements and contact information for use in an emergency.
If you have any problems completing the form, or any questions to it's contents, please contact the bookings email noted above. This form must be completed by 20th May 2024.
What to pack (Kit List)
Please make sure your child packs their own kit (with your support) so they know where everything is - as well as including all the items on the below list!
Kit should be packed into a rucksack or holdall, and your child must be able to walk a short distance from the drop off area to their campsite with it.
Friday evening only:
Your child must wear their uniform and group/unit necker to help us quickly identify where they need to go

Please make sure your child eats before you arrive, as there will only be a hot drink and snack in the evening

Personal Medication: Ensure that all required medication noted on your Medical Form is brought to the event, and handed to your Leader on arrival - clearly marked in its original packaging with the owner's name, instructions and dosage. If there is any medication that is required to be carried at all times i.e. Inhaler/Epi-Pen, please ensure that your Leaders are aware, and this is with your Young Person. The Core Team are able to refrigerate any medication that is required to be temperature controlled.
Pocket Money: There is a tuck shop onsite selling Sweets, Chocolate, Snacks, Drinks & Souvenirs. It is recommended that Young People bring approximately £10-£15 in a clearly labelled purse/wallet. This may be collected for safe-keeping at the discretion of your Section Leaders.
Remember:
Please ensure all items are clearly named/marked.
The majority of the Jamboree will be outside, so please bring appropriate clothing for the predicted weather. It will still get chilly in the evenings!
Please avoid Black Bags - these can be mistaken for rubbish, especially at the end of the Jamboree.
Drop-Off will be Drop & Go, please ensure you are prepared for this. There will be a separate Car Park area for those that need to speak with a Section Leader.
Please update your Medical Form if any of the details have changed since submission.
It is advised that Scouts do not bring their mobile phones. The event team and your child's group/unit cannot take responsibility for any items that are lost or broken. Please do not pack pen knives or multitools.

Shooting permission form
To take part in shooting, crossbows or laser tag, we must have parental consent
Participants who wish to do these events during WanJam2024 must have a signed paper version of the WanJam2024 Shooting Permission Form

Photography and videography policy
I understand and agree that photographs and digital images of my child taken at the event may be used for promoting future events and in general to promote the Scouts. It is noted that the Woodhouse Park Media Team will be taking photos, videos and audio recordings throughout the event, which may be used for social media and marketing purposes. Please note this is a large-scale event where the volume of attendees is high, and the event is spread over a large area. There will be video, photography & audio being recorded in all areas during the event. If you or your child do not give consent, it is you / your child and your child’s leader’s responsibility to avoid being photographed/filmed/recorded.

Finding Woodhouse Park (and one-way system)

One-way system
A one-way system will be in operation for all vehicles entering and exiting the car parks during the arrival/departure periods (5:30pm - 7:30pm Friday, 8-9:30am Saturday, 2:30pm-4:30pm Sunday).
Entering the Site (Green Arrows)
From the motorway, turn off the M5 at Junction 16, following the signs for A38 (North)
Follow the A38(N) until you reach Fernhill, shortly after crossing the motorway bridge
Turn left onto Fernhill (signposted 'Scout Camp'), and take the first right into Woodhouse Park
Exiting the Site (Red/Blue Arrows)
To prevent excess traffic when re-joining the A38, all vehicles exiting Woodhouse Park, will be directed to turn right towards Tockington.
Please follow the Blue Route to travel South, and the Red Route to travel North

Arrivals
General information
There are around 700 people attending this event, please be patient during this process
The safety of participants is our number one priority, so please follow any instructions given from car parking stewards
Please do not arrive before your scheduled drop-off time
Please follow the one way system of getting to and leaving the site (shown on the 'Finding Woodhouse Park' section above)
Your child will need to be able to walk a short distance from the drop off area to their campsite
Dropping off
We're operating a 'drop and go' system - where you'll quickly pull in and hand over your child to their leaders
If you need to speak to your child's leaders (such as to pass on medication) or need to support your child, you'll be asked to park in a separate area. This is down a single track, so you may be on the campsite for an extended period.
Any parent helpers arriving in the main drop off time must have their parking pass on display to make sure they are directed to the right place
Time slots
To reduce congestion and make sure everything runs smoothly, we ask you only arrive at your group/unit's designated drop off time.
Friday evening:
6:30pm: Keynsham
6:50pm: High Littleton and Saltford
7:10pm: Paulton, Clutton and Chew Stoke
7:30pm: Midsomer Norton, Radstock, Peasedown-St-John and all Explorer Units
Saturday morning:
From 8:15am: Adult/Helpers
9am: Reduced Weekend Beavers (all groups)

Departures
General information
We'll keep things running as fast as we can, but there may be some delays during departures
We have 700 people attending the event, so it's important we make sure every leaves with the right person
Please follow any instructions from car parking stewards to keep things moving
Collection times
To ease congestion, please only arrive at the designated pick up time for your group or unit
Sunday afternoon:

Woodhouse Park offer a huge number of activities. There are over 60 activities, and something suitable for all age ranges.

* Some of these activites will be age restricted, or have an alternative option (I.e.. Soft Archery for younger sections). Shooting, Crossbows and Laser Tag will require the production of a signed Shooting Permission Form (see below).
Please be aware that this is not an exhaustive list, and additionally activities available may change throughout the weekend dependant on Instructor or Leader availability.
Fiesta Has Talent! (Our talent show)
Fiesta Has Talent! is back
It's a chance for your child to showcase their talents to hundreds of others!
Auditions
Auditions will take part in the Stage area as part of the Daytime Activities in the Fiesta Programme.
Register by 10am at the stage. But auditions within your group are advised before the Fiesta!
An Act can be 1 person up to a whole section in size.
Auditions must be no longer than 3 minutes.
Acts MUST be able to perform during the Saturday evening.
Day Visitors may not audition.
Acts must be happy with footage and/or photos of them being used in future publicity.
An audition must be appropriate for an audience of young people.
Any backing music must be provided on a memory stick.
Equipment we can provide: Mics and sound system.
The act must be able to be performed on a stage of size 7m x 4 m.
Final
Final acts will be announced at 5pm on the Saturday.
The final performance will commence at 7:30pm.
4 prizes will be on offer in the categories:
Under 10 years old
10 - 14 years old
14 - 18 years old
18yrs + including Leaders
The winners will be announced at the end of the final.
What is WanJam2024?
Wansdyke Jamboree (WanJam) is the all-section district wide jamboree held around every four years by Wansdyke District Scouts. It is an event for everyone in the district, and this includes our 9 Groups - High Littleton, Paulton, Clutton, Midsomer Norton, Radstock, Peasedown-St-John, Saltford, Keynsham and Chew Stoke, as well as our 5 Explorer Units, Saxons, Argus, Titans, KESU and Mercury. WanJam was last held in 2018 at Somerdale Pavilion in Keynsham, where over 700 people attended.
Where and when is WanJam2024?
A: WanJam2024 is being held at Woodhouse Park Scout Activity Centre, Fernhill, Almondsbury, BS32 4LX, from Friday 7th to Sunday 9th June 2024. Utilising an existing Scout Activity Centre brings a number of benefits including proven large scale event management, permanent toilets and showers, dedicated instructors to lead permitted activities and 3 buildings which include bunk rooms and kitchen facilities.
What do I need to do before my Young Person can attend?
Primarily there are three things that must be completed;
Firstly, it's the online Medical Form. More information surrounding this is above, however this must be completed and is how the Core Team will collate the required information that may be needed in the event of an emergency, and also to ensure that we are able to cater for any dietary requirements.
Second, pay your attendance fee. This will be collected by your Section Leader, look out for information from them about how to do this.
Thirdly, some activities will require the production of the Shooting Permission Form. This form is linked above, and must be completed by the parent/guardian of any participant wanting to take part in Shooting, Crossbows or Laser Tag. This must be provided as a paper copy.
What food is provided, and will you cater for dietary requirements?
WanJam2024 is being 'centrally catered' by our dedicated team. This means that all participants and leaders at the Jamboree will be eating in one large marquee for their meals. Those attending for the whole event, everything from a snack and Hot Chocolate on the Friday, to lunch on Sunday will be provided. Beavers on the 'reduced' option, will receive lunch on Saturday, through to lunch on Sunday. As on the kit list, we are minimising our environmental impact by asking that everyone brings along a reusable Plate, Bowl, Mug and Cutlery for use at mealtimes. There will be washing-up facilities provided on exit from the catering marquee.
All dietary requirements will be captured through the online Medical Form that must be completed prior to the event - please ensure this completed correctly. Our team are experienced in managing food allergies and intolerances, so will manage these as required. We have access to 3 separate kitchens, plus our facilities near the dining marquee, so we'll be able to isolate food preparation areas as needed.
How do I contact my Young Person's Leaders during the event?
Each group will have their own procedure for parent/leader communication during events - this is called InTouch. Therefore, please refer to previous communications. If you are unable to contact your group, and it is an emergency - please contact the WanJam2024 Duty Mobile: 07749 005018. This will only be used during the event.
Is there a kit list?
Yes. See the section above. Please ensure that your Young Person has all of the items on this list, and they are clearly labelled. The Jamboree will have over 700 people onsite, and therefore clear labelling will mean we can easily return any lost property. Also, please be aware that Young People will need to walk a short distance between the Car Park and the group camping areas, so please ensure it is packed correctly, in one rucksack or holdall.
Do attendees get a badge?
Yes. Everyone attending WanJam2024 will receive a Big Fiesta badge.
Is there a shop onsite?

How will arrivals and departures work?
Please see the detailed section above relating to arrivals and departures, and your group/units arrival and departure slots. Please ensure you comply with these instructions to ensure a safe and efficient process. Our Young People's safety is our priority, and therefore please abide by the instructions of our Car Parking Stewards.
How big is the site & where will my Young Person be camping?
Woodhouse Park has capacity for around 1000 campers, therefore we'll have enough space! Covering around 500m x 300m, the site is a mix of open fields and woodland, with existing tracks and infrastructure. There are 6 camping fields, however we'll be using 2 of these for activities (Avon & Trym), and 1 for Car Parking (Paddock), therefore Groups/Units will be on one of the other three - Frome, Yeo or Severn. Groups will be camping together in their own mini sub-camps, and the Explorer Units will be camping as one in an Explorer Sub Camp.
Will there be photography and filming at the event?
Yes, both the WanJam2024 Team and the Woodhouse Park Activity Centre Team will be taking photos and recording the event. As noted in the Permission Form; I understand and agree that photographs and digital images of my son / daughter taken at the event may be used for promoting future events and in general to promote the Scouts. It is noted that the Woodhouse Park Media Team will be taking photos, videos and audio recordings throughout the event, which may be used for social media and marketing purposes. What happens if there is bad weather?
In most cases, Young People will be asked to put on their waterproofs, and activities will continue as usual. Some tower activities may be cancelled if there are high winds. Further, Woodhouse Park has 3 large buildings, plus there will be 4 large marquees and the extra-large dining marquee that can be used in the event of wet weather. In the unlikely event that the event is cancelled, the Core Team will manage the site evacuation with Section Leaders, and will contact Parent/Guardians as and when required.
